One Environment - Multiple Locations

 Within Wodify, you can have as many locations as you'd like which works for many gyms that have multiple locations, sister CrossFit Affiliates, or fitness facilities that share ownership. This will also allow reciprocity amongst members at all locations. Every gym and management team has different needs. When deciding if you want to bring your additional locations on within the same environment or in a separate, new environment, please consider the list below:

 

Front End: 

  • WODS
    • Announcements are pushed to all locations
    • WODs at Kiosk will default to the User’s default location and default program
    • Athletes will be able to see WODs for ALL locations
  • Calendar
    • Defaults to show classes at all locations
    • Schedule can be filtered by location
  • Athletes 
    • Athletes CAN sign into classes at any location by default unless Location Access is enabled. 
    • Athletes CAN make reservations for classes at any location by default unless Location Access is enabled. 
  • Coachboard - This is where the athlete will sign into class and enter results
    • Cannot show both locations at one time
    • Will always default to user’s default location and program
    • Coach will always need to filter on specific location if coaching at several locations
  • Whiteboard
    • Can filter on all locations
    • Can filter on specific locations
    • Leaderboard will show top 3 athletes overall, not per location - THIS IS A GLOBAL LEADERBOARD
  • Leaderboard
    • Global
    • No option to filter on specific location
  • Athlete Performance
    • All coaches will be able to see performance for all athletes
    • Coaches can add performance for any athlete
  • My Reviews (Nutrition Journal)
    • Athletes can choose coach/athlete from any location to review food journal

 

 

Back End:

  • WODS
    • defaults to display WODs for all location
    • can filter on each location
    • 1 WOD can be created for all locations
    • Separate WODs can be created for each location
    • Components and sections are global
    • Custom Benchmarks are global
    • One WOD per program per location per day can be created
  • Leads
    • No option to filter Leads by location
    • Leads from website, SMS, or manually created will not have a location attached to their Lead profile
    • Only one Lead form to sign up leads through your website
    • No option to mass email Leads by location
    • SMS Messaging cannot be filtered by location
    • When a Lead is converted to an Athlete, the status will be global across all locations
    • Lead form will only allow for one redirect URL
    • Leads from all locations will be sent to ALL lead contacts
    • Email signature will be the sender’s default location signature/branding
    • SMS Messaging
      • Cannot have multiple keywords - one keyword will apply for all locations
  • Athletes
    • Athlete list will default to all locations
    • Athlete list can be filtered by all location
    • Coaches can signup athletes for either location
    • Coaches/Managers/Admin at any location can view all athletes at any location (global)
    • Managers/Admins can make changes to athlete accounts at any location
    • When creating a new athlete, a default location must be selected
      • This default location can be changed, however, you will need to apply both a new membership and a new payment method so that the athlete is able to pay for a membership at the new location.
      • When changing an athlete’s location, if using separate merchant accounts, payment information does not transfer
  • SMS Messaging
    • SMS messages can be sent by location
    • SMS messages can be sent to athletes at ALL locations
  • Email Athletes
    • Mass emails can be sent by location
    • Email signature will be sender’s default signature/branding
  • Schedule
    • Programs are global - these cannot be tied to one location
    • Recurring classes are tied to individual locations
    • Recurring classes can only have one location
    • Recurring classes can be filtered by location
    • Classes can be filtered by location
    • Classes can only be tied to one location
  • Waivers
    • No option to have separate waivers for each location
    • No option to send waivers to just one location versus another. Must be activated for all locations
    • Waivers are based off of program listed
    • Signed and Missing waiver list view is global
  • Financial
    • Invoices
      • Can be filtered on all locations or individual locations
      • Default view to “all” locations
      • Membership Template list view is global
      • Can specify location on each payment plan/option so that only athletes from that location may purchase memberships available  (one payment plan CAN be tied to/available at multi-locations)
      • Drop-In fee is specific to each location
      • Free Trial is global
    • Membership Contracts
      • These are associated with membership plans not individual payment plans (i.e. If you have one unlimited membership plan for all locations, just one contract is available. If you have Location A Unlimited Membership and Location B Unlimited Membership plan, you can attribute different contracts.
      • When e-mailed, the signature will be based off the athlete’s default location
    • Online Sales Portal
      • Just one portal per environment
      • Athletes/Visitors will need to choose location prior to making purchase/reservations
    • Invoice Configuration
      • Invoice Footer is global
      • Default Billing Day is global (can be adjusted athlete to athlete) also the only default through Online Sales Portal
      • Currency Configuration is Global
      • Billing Notification E-mails are on or off for all locations (global)
    • Merchant Gateway
      • Can have one Merchant Configuration per location or choose to have one for some/all locations
      • Funds deposited into the gateway are determined by the original default location when the athlete stored their payment details (i.e if Bob joins CrossFit A, receives a membership, and adds his payment method but then transfers to CrossFit B without any changes made other than location, all purchases will still funnel through CrossFit A’s gateway and deposited into the business account attached)
    • Tax Rates
      • These are global but you can add more and apply them per payment or invoice
    • Discounts
      • Global and can be applied at any location
    • Wodify Billing
      • Can be billed per location on different cards!
  • Payroll
    • Global
    • Pay rates are based on program across locations.
      • Cannot have separate pay rates for the same program at different locations.
  • Retail/POS
    • Products are designated to a specific location
    • Track inventory by location
    • Minimum Cart value is global
    • Store Credit and Stored payment methods are only applicable to the athletes default location.
      • The athlete cannot purchase an item at another location on their stored payment method or store credit.
    • To pay at another location the athlete will need to use cash, check or new card at POS checkout.
    • Self service check out configurations are global
    • One Shopify integration
  • Reports:
    • Filter by location
    • Managers/Admins can view reports for all locations
  • Dashboards:
    • Individual dashboards will show for each location separately
    • Display information for all locations
