What are the no-show and late cancellation options?

No-Shows

A 'No Show' is defined as an athlete that makes a reservation to a class but does not attend.  Wodify automatically marks a reservation as a no-show if the athletes has not signed in to class one hour after it has ended.

Admins/Managers can optionally count an athlete's no-show against his or her attendance limit. Admins/Managers can also optionally automatically charge the athlete's default payment method a no-show fee.

To enable Count No-Shows Against Attendance Limits:

  1. Login to Wodify Admin
  2. Click 'Classes' > 'Settings' > 'Reservations'
  3. Click 'Edit' under 'No Show Settings'
  4. Click to enable 'Count Against Attendance Limits'
  5. Click Save


To enable Automatic No-Show Fee billing:

  1. Login to Wodify Admin
  2. Click 'Classes' > 'Settings' > 'Reservations'
  3. Click 'Edit' under 'No Show Settings'
  4. Click  to enable 'Auto-Charge'
  5. Enter your Auto-Charge Fee
  6. Click Save


Once Wodify identifies a no-show an email is immediately sent to the athlete notifying the athlete of the fee.  The No-Show invoice will be processed during the nightly billing cycle.

Optionally send email alerts to members that reserve for a class but do not sign in. This is your opportunity to explain your No Show policies to your member. This email will always be sent when enabled.

Late Cancellations

Late Cancellations are reservations that have been cancelled within the gym-defined Cancellation Window. The Cancellation Window is determined by each gym.  Any cancelled reservation that occurs within the Cancellation Window is marked as a 'Late Cancellation'.

Example: Sam has a reservation for the 5:00pm CrossFit class. His gyms Cancellation Window is 1 hour.  Sam cancels his reservation at 4:30 the day of the class.  Since his cancellation occurred 30 minutes before class starts his reservation is marked as a Late Cancellation.

Admins can optionally count an athlete's late cancellation against his or her attendance limit. Admins can also optionally automatically charge the athlete's default payment method a late cancellation fee.
